Specific accountabilities:
Reporting to the General Manager, Marketing, Eaton Center, the Administrative Assistant will:
  • Perform secretarial and administrative work for the Marketing Director;
  • Coordinate various events (Festival of Fashion and Design, Santa-Claus Parade, the summer and winter sales [including the Sidewalk Sales on Ste-Catherine]);
  • Coordinate the production of all printed materials including signage programs in the Centre;
  • Coordinate various marketing programs with tenants (signage, events, etc.);
  • Prepare written communication for the retailers relating to all marketing programs, events and promotions and send them to the retailers of the Centre; 
  • Assist Customer Service with the gift card program and prepare corporate requisitions; coordinate gift-card activations and training for new tenants;
  • Prepare and forward purchase orders and invoices, maintain tight control on the budget, marketing log book and supplier account log book, and help with quarterly analysis;
  • Prepare presentations and various reports;
  • Establish and update the filing system and the Montreal Eaton Centre’s Web site and the contents of the digital screens;
  • Establish and update client contact lists for the Montreal Eaton Centre’s Web site;
  • Update and maintain Tenants’ Marketing contacts;
  • Coordinate and update list of Tenants’ logos and description;
  • Stay on top of the latest industry trends and news; follow press clippings, articles, etc;
  • Build and reinforce positive and direct relationships with retailers;
  • Update the media list;
  • Assist the Marketing Director in the development and the coordination of sponsorships, partnerships and charitable donations, as needed;
  • Administration of the traffic counter and ensure functionality of the system, and prepare weekly, monthly, and annual traffic reports;
  • Update various tools on a regular basis (project status, publicity contracts, etc.);
  • Attend meetings and write minutes.
Key requirements
  • College degree or the equivalent and a minimum of three to five years of experience in marketing or a related area;
  • Good knowledge of Ms Office;
  • Keen sense of priorities and organization and a flair for teamwork;
  • Ability to work under pressure and meet deadlines;
  • Effective interpersonal skills;
  • Bilingualism (oral and written).
