Accounts Administrator - Centre Rockland

Specific accountabilities:
Reporting to the General Manager, you will be responsible for lease administration, collections and accounts payable for Rockland Shopping Centre.              
Collecting rent payments on a monthly basis is a key responsibility for this position and requires great care and accuracy. As such, you will be asked to: 
  • Prepare initial rental advice and rent increase notices throughout the year;
  • Prepare and process daily bank deposit;
  • Adjust tenant's accounts payable;
  • Produce manual account statements as needed;
  • Prepare tenants' charge back;
  • Communicate with tenants for collection purposes and provide follow-up to ensure receivables are paid in a timely manner; meet with tenants as needed to make special payment arrangements;
  • Draft notices for overdue payments; where necessary, coordinate the necessary procedures with the Legal team and ensure follow-up.
Accounts payable 
  • Verify all the accounts payable invoices;
  • Process invoices in the system and cheque runs;
  • Prepare the necessary documents to open new supplier accounts;
  • Reconcile the "Imprest Fund" and petty cash for refund and reimbursement;
  • Assist the General Manager in the year-end accruals;
  • Perform discrepancies analysis for different accounts. 
  • Prepare and submit time sheets used for payroll administration purposes;
  • Prepare daily reconciliation of gift cards and ensure compliance with all internal audit procedures for the gift card program;
  • Follow up with tenants as required to obtain all monthly sales reports, enter them into the system, produce consolidated monthly reports, send out sales updates, obtain official annual sales figures from tenants and prepare all relevant correspondence;
  • Ensure the insurance certificates on file for each tenant are up to date and prepare any necessary correspondence in this regard;
  • Adhere to accountants’ recommendations (internal/external auditor) with respect to all facets of accounting management at Rockland;
  • Carry out other administrative duties as needed (reception, filing, etc.).
Key requirements 
  • College Diploma in Accounting or Finance;
  • Minimum of two years experience in Accounting;
  • Experience in the real-estate business (an asset);
  • Knowledge of Excel and JD Edwards;
  • Ability to work as a team member;
  • Organizational skills and meticulous;
  • Fluency in French and English, spoken and written.
