The Receptionist / Administrative Assistant will assist with the efficient operation of the Administration Office. Specific duties will include, but are not limited to the following:
  • Maintain and update the Tenant Contact Information list; set-up and maintain tenant files and keep all employee medical and dental information up to date.
  • Ensure all office equipment is operating in an efficient manner by checking daily; liaise with companies when servicing is required
  • Order and maintain all office supplies and keep office supply room organized
  • Maintain the schedule for the boardroom and tenant room bookings
  • Sort and distribute internal and external mail and faxes each day for the Administration Office and Tenant Mail Room as well as items sent by courier; also responsible for the arrangement of the weekly courier
  • Provide support with the Administrative Assistant with the update of the Crisis Management Manual
  • Provide weekly office cleaning schedule to all administrative personnel
  • Maintain the telephone system; greet visitors and respond to their requests;
  • Various other duties and tasks as assigned
  • Minimum grade 12 diploma. Secretarial diploma would be an asset.
  • At least 2 years of relevant administrative experience
  • Above average organizational, interpersonal and communications skills; be customer service driven, teamwork focused and have the ability to foster and maintain interpersonal relations and desire to achieve constant quality improvement.
  • Ability to work under pressure in a fast paced environment
  • Advanced Microsoft Office skills, including Word and Excel.
