Specific accountabilities:
  • Responsible for the maintenance of TIPS and Juice user IDs and email groups.
  • Manage the distribution and uploading of operational reports such as sales, occupancy, leasing and traffic reports including upload to Portals.
  • Collect and input  non-managed Traffic  information.
  • Consolidate and co-ordinate monthly and budget  Joint Venture packages.
  • Assist with running budget downloads.
  • Produce JDE/Juice downloads.
  • Provide Juice training as required.
  • Provide support for Joint Venture partner meetings.
  • Responsible for the tracking and saving of non-managed reporting.
  • Review TIPS Leasing deals and circulate for partner approval.
  • Compile information from other areas of the company in response to requests by third party agencies such as the International Council of Shopping Centers.
  • Coordinating the approval process for non-managed expense and leasing approvals.
  • Act as departmental backup for various monthly responsibilities.
  • Special projects as required.
  • Co-ordinate travel.
  • Process expense reports and code invoices for the department.
  • Maintain time sheets.
  • Mail distribution including electronic newsletters.
  • Co-ordination of department meetings/functions.
  • Other administrative support as required.
   
 
Key requirements
  • A post secondary degree is required,  with 3-5 years of related experience
  • Solid organizational skills, interpersonal and communication skills
  • Ability to take initiative and prioritize
  • Strong attention to detail
  • Advanced computer skills in Microsoft Word, Excel and PowerPoint are a must.
  • Ability to work well in a team environment
  • The ability to multi-task in a fast-paced environment and meet deadlines is required
  • Positive, service oriented attitude
  • Experience with Microsoft Access would be an asset
  • Ability to write and speak French would be an asset.
